Overview: We are seeking a highly organized and detail-oriented Accounts Receivable Specialist to join our finance team.
The Accounts Receivable Specialist will play a crucial role in managing customer credit, invoicing, and collections processes in accordance with Highgate Hotel's policies and procedures.
Responsibilities: Assist the sales team in establishing customer credit in compliance with company policies, including the application process, reference checks, credit limits, and deposit requirements.
Provide customers with accurate and timely invoices, statements, and schedules.
Verify charges to guest folios and banquet event orders for accuracy.
Manage full-cycle accounts receivable billing and City Ledger activities.
Verify charges to group resumes and ensure accuracy.
Perform reconciliation of guest folios to ensure accuracy and completeness.
Attend pre-conference meetings and meet with group contacts as necessary.
Sort, file, and pull charges for efficient billing and collections processes.
Post charges or credits promptly and accurately.
Prepare final invoices for email distribution to clients.
Conduct collection calls and emails for assigned groups.
Respond promptly and effectively to customer inquiries, escalating issues to operating departments and supervisors as needed.
Maintain an efficient collection process, including organizing filing and tracing systems, issuing demand letters, monitoring returned checks and chargebacks, and preparing bad debt write-offs.
Ensure proper internal control by monitoring guest ledger and advance deposit ledger, and any related subsidiary ledgers.
Evaluate current and delinquent customer accounts, review reconciliations and settlements, and refer uncollectible debts for write-off.
Review credit card chargeback inquiries and ensure hotels respond promptly and according to policy.
Assist customers with invoice questions and discrepancies as necessary.
Qualifications: Education & Experience: · High School diploma or equivalent required.
· At least one year of progressive experience in a hotel or related field preferred.
· College course work in related field helpful.
· Ability to understand and utilize basic computer equipment and applications, to include word processing and spreadsheet applications.
Physical requirements: · Flexible and long hours sometimes required.
· Sedentary work – Exerting up to 10 pounds of force occasionally, and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects
